Checkout on one screen
Customer, cart, dates, rate, deposit, condition and the first payment — with the total updating beside you as you work. No wizard, no six steps.
Rates that fill themselves in
Each cart carries its own hourly, daily and weekly rate. Pick the cart and the rental type and the price is there, still editable if you are doing someone a favour.
Returns that finish the job
Condition, damage and its charge, late fee, cleaning, the deposit back, the balance settled, and where the cart goes next — all applied together, so there is no state where the charges landed but the payment did not.
Reservations as a calendar
Carts down the side, days across the top. Confirm, cancel, mark a no-show, or check a booking in and turn it into a rental with the details already filled.

Deposits are not revenue
A deposit is held, shown separately from the balance, and returned at the end. It never inflates what you earned, and the reconciliation on the reports shows revenue, deposits taken and deposits returned as three separate lines.
Nothing is deleted
A wrong payment is voided with a reason, and both the payment and the reason stay on the record. Refunds are recorded, not erased. For a business with staff, that is the point.
Balances you can act on
What is outstanding, per rental and per customer, on the dashboard and on every profile. Overpayment becomes customer credit rather than a negative number nobody understands.
Reports over a real period
This month, last month, last 30 days or any range you type. Revenue by day, or by month when the range is long. Cash by payment method. Fleet utilisation. Maintenance cost.
The fleet
Twenty carts is too many to hold in your head.
One status per cart, worked out not typed
Available, rented, reserved, in maintenance, damaged or retired. A cart going out becomes rented on its own; a cart coming back becomes available unless damage says otherwise.
Double booking is impossible
Not discouraged — impossible. The database refuses to store two overlapping rentals of one cart, so two staff members booking at the same instant end with exactly one booking.
Maintenance that blocks rental
Report a fault from any account. Schedule it, cost it and close it as a manager. While it is open the cart cannot go out by accident.
Your staff
Three roles, enforced in the database rather than by hiding buttons.
Owner, manager, employee
An employee takes rentals, records payments and reports faults. They cannot void a payment, close a maintenance job, open the reports or read the activity log.
Invitations, not shared passwords
Add a staff member by name, email and role. They set their own password — no owner ever sets, sees or holds a member of staff’s password.
An activity log that names people
Every rental, payment, void, status change and correction records who did it and when, and links back to the record. It cannot be edited or deleted, by anyone.
Your data is only yours
Separation between businesses is enforced by the database on every single query. If the application were removed entirely, one business still could not read another’s data.
And what it is not
No online booking for your customers, no automatic WhatsApp or email reminders, no card processing, no digital signatures, no GPS. AriaFlow is what your staff use at the counter. If you need one of those instead, say so when you get in touch.
